The short version
- A recruiter used RuneShips to find people for a real role, and your profile matched.
- Your details came from tools that recruiter already uses, such as Juicebox, or from their own Greenhouse or Ashby account.
- You don't have to reply, and you don't have to take any task.
- You can see what's held about you, have it deleted, or ask never to be contacted again, at any time.
1. Why you heard from us
A recruiter or company used RuneShips to find candidates for a role they're hiring for. Our software compared publicly listed or previously shared professional details against the role's requirements, and your profile ranked highly enough for the recruiter to invite you. A person at that company approved the message before it was sent.
2. Where your details came from
- A sourcing tool the recruiter uses, such as Juicebox, read through the RuneShips Chrome extension while the recruiter was signed in to their own account.
- The recruiter's own applicant tracking system (Greenhouse or Ashby), if you applied to that company before.
- Public links on those profiles, such as a portfolio or code repository.
Which of these applies to you is listed in the message you received. You can also ask us, and we'll tell you.
3. What we hold about you
Your name, current title and employer, location, work and education history, public links, your match score and ranking for the role, and the messages sent to you. If you take a task, we also hold your submission, the time you took and its evaluation.
4. Who can see it
The hiring team at the company that contacted you, and RuneShips staff who need access to run and secure the Service. [Confirm that sourced profiles are never visible to other customers.] We don't sell your information or use it for advertising.
5. If you take a task
Tasks are optional. If you take one, your work is scored on five dimensions: strategy, execution, communication, technical skill and creativity. Scores are advisory. The recruiter makes any hiring decision, and you can ask a person to review your score. Tasks are exercises, not unpaid production work, and the recruiter may not use your work in its business without a separate agreement with you.
6. Your choices
- Stop contact: use the opt-out link in any message. We'll add you to a do-not-contact list, so no recruiter can reach you through RuneShips again.
- See your data: ask for a copy of everything we hold about you and where it came from.
- Delete it: ask us to delete your information. We'll also ask the recruiter to delete any copies they exported.
- Object: object to being sourced or ranked at all.
Email hello@runeships.com or use the link in the message. We answer within 30 days.
7. How long it's kept
If you don't reply or take a task, your details are deleted [N] days after the recruiter's outreach ends. If you opt out, we keep only a minimal record (such as a hashed email address) so you aren't contacted again. The Privacy Policy has the full retention schedule.
8. Legal basis and roles
For people in the EEA, UK and Switzerland: the company that contacted you relies on its legitimate interest in recruiting for a real role, and RuneShips processes your information on its behalf [confirm with counsel]. You can complain to your data protection authority. The Privacy Policy explains the rest.
